Converting Leads to Clients
Best practices for writing quotes that get accepted and close deals faster
1Speed Is Everything
The first professional to respond to a lead wins the job more often than not. Professionals who respond within the first hour are 7x more likely to get hired. Enable notifications so you never miss a new lead, and aim to respond within 30 minutes during business hours.
2Read the Lead Carefully
Before responding, read the project description thoroughly. Understand what the customer needs, their timeline, and their budget. Reference specific details from their request in your response to show you've paid attention.
3Write a Personalized Message
Avoid copy-paste templates. Start with the customer's name, acknowledge their specific project, and briefly explain why you're the right fit. Keep your first message concise — 3-5 short paragraphs. You can share more details after they respond.
4Send a Clear, Detailed Quote
Your quote should include: the total price (or a clear estimate), what's included in that price, the estimated timeline, and any assumptions you've made. Vague quotes get declined. Specific quotes get accepted.
5Follow Up Strategically
If you don't hear back within 48 hours, send a polite follow-up message. Don't be pushy — simply ask if they have any questions about your quote. Many customers get busy and appreciate the reminder. One follow-up is usually enough.
6Build Trust Through Communication
Respond promptly to every message. Answer questions thoroughly. If you don't know an answer, say so and commit to finding out. Customers hire professionals they trust, and trust is built through consistent, honest communication.
7Ask for the Job
Don't be afraid to explicitly ask for the work. After sending your quote and answering questions, a simple "I'd love to take on this project — when would you like to get started?" can be the nudge a customer needs to say yes.
